Job Description
GNB is lseeking a highly motivated self-starter who does not require micromanagement. This individual must be able to take initiative, work independently, and contribute immediately. We are looking for someone who is personable, bilingual preferred, and able to communicate effectively across all levels of organization.
Reporting directly to the VP of Operations, this role is critical in supporting both manufacturing and construction operations. The ideal candidate will be highly organized, computer literate, and capable of managing multiple priorities in a fast-paced environment while supporting various departments.
Responsibilities
Assist VP of Operations in various admin tasks
Assist in the management of daily office operations
Greet, assist and direct visitors
Order, maintain and stock office, kitchen, restroom and marketing supplies. Coordinate all supply orders through three buildings
Maintain, organize and order company apparel
Distribute incoming and outgoing mail and packages (USPS, FedEx, etc.)
Generate shipping labels through FedEx services/USPS for office and field shipments
Organize and plan company events and functions and lunches for meetings.
Manage phone systems, handling calls professionally and directing them to the appropriate personnel.
Perform data entry tasks to maintain accurate records and documentation in software systems, excel databases and electronic filing systems.
Apply for and maintain contractor licenses
Maintain office equipment and troubleshoot if issues arise.
Prepare new hire packets
Assist with monthly company meetings
Support all departments as needed
Other duties as assigned
Qualifications
Proven experience in office administration and managing multiple projects with tight deadlines
Mid-level proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint, etc.).
Excellent organizational and time-management skills with the ability to multitask effectively in a fast-paced environment.
Strong organizational and time management skills
Excellent verbal and written communication skills
Ability to pass pre-employment drug screen and background check
Valid drivers license
Working Conditions:
Prolonged periods of sitting at a desk and working on a computer
Frequent use of office equipment such as computers, printers, phones, and copiers
May require occasional standing, walking, bending, or light lifting (typically up to 15–25 lbs)
Regular working hours are expected. However, flexibility may be required to accommodate special projects or urgent tasks.
